Conference | Hilton Vienna Plaza

Technical support for a two-hall conference.

Two parallel halls, a programme that changed throughout the day, and dozens of details that all had to fall into place at exactly the same moment. This is precisely the sort of situation where a client cannot afford to leave anything to chance. On 26 June, the Hilton Vienna Plaza hosted an international conference, with the programme running simultaneously in two rooms: Jazz+Swing and Lindy Hop. The Hurricane team provided a complete technical solution for both halls, as well as for the foyer, where the event welcomed its participants.

Main conference room

As the room was laid out widthways, the main feature was a Gloshine P2.6 LED screen measuring 17 × 2 m, which displayed an image across the entire width of the space. The image was initially split into a 3xPIP (picture-in-picture) format to display presentations simultaneously. Later, the layout was changed to 2xPIP, with the left and right halves of the screen serving two groups of participants seated on either side of the room, who were discussing different topics. It is precisely at moments like these, when the format changes live in the middle of the programme, that the difference between improvisation and control over the course of the event becomes apparent. Speakers had access to two preview monitors, and a 55-inch LCD screen mounted on a stand was installed to display the event programme, which has enabled us to ensure a comfortable experience for every presenter.

Side hall and foyer

The Lindy Hop room was used for presentations and discussions in the afternoon. The image was displayed on an 86-inch LCD screen positioned in the centre of the room; we solved the issue of a minimalist sound system that did not obstruct the view whilst ensuring guests’ comfort by using Meyer Sound X20 speakers. In the foyer, we installed a 55-inch LCD screen on a tripod to guide participants through the event, along with a 3 × 1.8 m „Welcome“ banner to greet them on arrival. Although the complexity of the event required working with several video formats simultaneously, thanks to the precise technical infrastructure, we managed to ensure the programme ran smoothly in both halls at the same time. The centrepiece was undoubtedly the large LED screen, which spanned the entire width of the main hall.
